Package 1

 

FULL SERVICE PLANNING

$8,000.00 +

For the client looking for event planning assistance from the beginning to the end, You're Welcome Events will hold your hand throughout the entire journey of planning your dream celebration. We will do it all from helping establish the color scheme and design concepts, working closely with each vendor, and providing unlimited guidance throughout the entire process. Planning an event does not get easier than this! This exclusive package includes assistance every step of the way ensuring a productive, smooth, and enjoyable planning process.

Below is a detailed description of what's included in the Full Service Planning package. 

Guidance throughout the entire planning process

  • Initial meeting to discuss your celebration style and goals along with your budget

  • Unlimited access, professional advise, and consultation via phone, email, and scheduled face to face meetings

  • Create a planning timeline with goals & deadlines to meet along with scheduled phone meetings to help keep you on track

Focus on design and décor

  • Client Design Questionnaire & meeting to establish color combinations, theme, and design concepts

  • Venue recommendations and walk through of final venue selection

  • Coordinate and schedule design meetings with florist(s) and attend any follow up meetings

  • Arrange mock up table centerpiece and floral design from referred florists by You're Welcome events

  • Vendor recommendations to meet your design goals (linen, chair, and specialty prop rentals, desserts, lighting, draping, glassware, etc.)

  • Create the Floor Plan

  • Assist in the selection of favors, gifts, and welcome baskets

Assemble a dream team of vendors

  • Manage all vendor communication

  • Recommend vendors best suited to your style and budget

  • Obtain multiple vendor quotes

  • Submit quotes for approval

  • Review proposals and terms of final contracts

  • Schedule delivery, set up, and pick up times

  • Confirm all vendor orders and quantities on rental items

  • Ensure vendors meet the venue's requirements

  • Research hotel accommodation and group room blocks

  • Attire suggestions to coordinate with the event

  • Suggest verbiage for invitations and signage

  • Unlimited emails and phone meetings

Manage every detail of the event

  • Create a day of timeline

  • Distribute client approved timeline to all vendors one week before the event date

  • Arrive before the first vendor delivery ensuring proper set up instructions are followed

  • Ensure set up is according to the floor plan

  • Handle final payments and gratuities to vendors

  • Assist with setup for decorations including seating chart, favors, menus, sign-in book, gifts, etc.

  • Sound check with musicians, band, or DJ

  • Adjust to last minute needs

  • Set up signage, favors, and any specialty items

  • Onsite coordination and management of entire event (6 hours)

EVENT DESIGN AND VENDOR MANAGEMENT

$6,000.00 +

For the client who has flexibility with their schedules and can plan parts of the event but wants assistance with design and creative décor to ensure a visually pleasing event from start to finish.

Below is a detailed description of what's included in the Event Design and Vendor Management package. 

Creatively design every detail to enhance your celebration

  • Initial meeting and venue visit (venue recommendations available if no venue is currently booked)

  • Floor Plan suggestions

  • Venue recommendations and walk through of final venue selection

  • Coordinate and schedule design meetings with florist(s) and attend any follow up meetings

Package 3

MONTH OF COORDINATION

$3,000.00 +

For the client that already booked vendors and planned the event, but wants help with day of coordination and vendor management. You're Welcome Events will manage every detail of your event with seamless flow all according to schedule. 

Below is a detailed description of what's included in the Month of Coordination package. 

One month prior to the celebration, You're Welcome Events will arrange two meetings to discuss the following:

  • Introductory meeting at the venue to review vendor contracts, venue requirements, and the floor plan. Discuss the style and theme of the event along with any additional celebration plans. Assist in creating a timeline for vendor deliveries and set up

  • Final detailed meeting to cover any last minute items

 Included in this package:

  • Unlimited access, professional advise, and consultation via phone and email

  • Every event includes Jeramee to manage set up along with one assistant. Additional assistants available for larger events

  • Venue walk through to discuss schedule of events

  • Review, proof, and confirm Banquet Event Order provided by catering manager or venue staff

  • Contact service providers for arrival times and communicate any specific venue procedures for unloading, set-up, and tear down

  • Confirm all vendor orders and quantities on rental items

  • Organize bands and musicians for song selections and special cues

  • Distribute client approved timeline to all vendors one week prior to the event date

  • Manage banquet staff regarding set-up and compliance of floor plan

  • Attend sound check with band, musicians, or DJ

  • Assist with placement of decor, seating cards, party favors, sign-in book, gifts, etc.

  • Onsite coordination and management of entire event for 6 hours
